This Privacy Policy explains how we process your personal data in connection with the use of the arscompany.eu website and contact made through the contact form. We are committed to transparency and to keeping your data secure.

2. What data we process

  • Data provided in the contact form: name, email address, phone number and the content of your message — including cargo, route, weight and preferred date, if you provide them.
  • Technical data logged automatically by the server (e.g. IP address, date and time of the request, browser type) to the extent necessary for the security and correct operation of the website.
  • Analytics data collected via cookies only with your consent (e.g. pages viewed, device and browser information, a truncated IP address) — see Section 10.

3. Purposes and legal bases

  • Handling the enquiry submitted via the form and taking steps at your request prior to entering into a contract — Art. 6(1)(b) GDPR.
  • Responding and contacting you back, ensuring the security of the website, and establishing, pursuing or defending claims — our legitimate interest, Art. 6(1)(f) GDPR.
  • Complying with legal obligations of the Controller (e.g. tax, accounting) if cooperation follows — Art. 6(1)(c) GDPR.
  • Analysing website traffic and how the site is used, by means of analytics cookies, in order to improve the website — on the basis of your consent, Art. 6(1)(a) GDPR.

4. Recipients of data

Your data may be processed by entities providing services to us under data processing agreements: the website hosting provider, the email delivery and mailbox provider, and providers of IT tools. We do not sell your data or share it with third parties for marketing purposes.

5. Transfers outside the EEA

Some of the service providers we use may process data outside the European Economic Area (including in the United States). In such cases the transfer takes place on the basis of safeguards required by the GDPR — Standard Contractual Clauses approved by the European Commission, or the provider participation in the EU-U.S. Data Privacy Framework.

6. Retention

We retain data related to your correspondence for as long as necessary to handle the enquiry and for the period arising from our legitimate interest (e.g. to demonstrate how a matter was handled and to pursue or defend claims), no longer than 3 years from the end of the correspondence, unless a longer period is required or permitted by law. Where a contract is concluded, we retain data for the period required by applicable law.

7. Your rights

You have the right to:

  • access your data and obtain a copy of it,
  • rectification (correction) of your data,
  • erasure of your data,
  • restriction of processing,
  • data portability,
  • object to processing based on legitimate interest,
  • withdraw consent at any time — to the extent processing is based on consent (without affecting the lawfulness of processing before withdrawal).

You also have the right to lodge a complaint with the supervisory authority — the President of the Personal Data Protection Office (Prezes UODO, ul. Stawki 2, 00-193 Warsaw, Poland).

8. Voluntary provision of data

Providing your data is voluntary but necessary to handle your enquiry — without your name and email address we will not be able to respond.

9. Automated decision-making

Your data is not used for automated decision-making, including profiling.

10. Cookies and analytics

Cookies and local storage strictly necessary for the website to work correctly (including remembering your cookie choice) are always active and do not require consent.

Subject to your consent, we use Google Analytics 4, a service provided by Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland), to understand how visitors use the website and to improve it. Google Analytics sets cookies (for example _ga and _ga_*) and processes data such as a truncated (anonymised) IP address, device and browser information, and the pages you view. These cookies are stored for up to 2 years. In connection with this service, data may be transferred to Google LLC in the United States on the basis of the EU-U.S. Data Privacy Framework and the Standard Contractual Clauses.

The legal basis is your consent (Art. 6(1)(a) GDPR). Analytics cookies load only after you accept them in the cookie banner; if you decline, they are not used. You can change or withdraw your consent at any time using the Cookie settings link in the website footer, or by clearing cookies in your browser. Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal.

11. Changes to this Policy

We may update this Policy. The current version is always available on the website, together with the date of the last update.

The binding version of this Policy is the Polish-language version. In the event of any discrepancy with a translation into another language, the Polish version prevails.
